Office Assistant/Receptionist

Location: Reston, VA

Job Description:  The Office Assistant/Receptionist will help with the organization and running of the daily administrative operations and provide assistance in support of general office operations. This position will handle client-facing duties on the phone and in person. All guests must be greeted in a professional, friendly, and helpful manner to maintain the Dev culture of exceeding expectations.

Working under the direct supervision of the Office Manager/Executive Assistant, this position is responsible for a variety of tasks to promote an efficient office environment in our corporate location. The Office Assistant/Receptionist will support programs and projects in the areas of office management, administrative responsibilities, and any other operational support tasks that might arise. All initiatives contribute toward supporting corporate infrastructure to best serve Dev Technology employees and projects.

Responsibilities: 

  • Greet and direct office visitors
  • Answer main phone line, respond to direct requests for information and/or forward messages to appropriate staff
  • Ensure the office is kept in orderly and neat fashion at all times
  • Staff liaison for facilities and maintenance matters
  • Maintain inventory of office supplies, including work supplies, snacks, beverages, and coffee service
  • Ensure assigned areas are well stocked throughout the day
  • Provide meeting support and event planning, including scheduling conference rooms, coordinating food, assisting in preparation of materials & logistics, and handling set up and clean up afterward
  • Maintain conference rooms in a ready state at all times
  • Maintain supplies by checking stock to determine inventory levels, anticipating requirements, placing and expediting orders, verifying receipt, restocking items and maintaining orderliness of supply room
  • Coordinate with DC Office Assistant to ensure compliance with established policies
  • Restocking kitchen and visitor areas with supplies, snacks and coffee
  • Coordinate and complete assigned expense reports and travel expense reports in a timely manner
  • Receive and distribute all incoming and outgoing mail
  • Manage package distribution, both incoming and outgoing. Prepare mail and package labels
  • Provide support to the Office Manager/Executive Assistant
  • Book travel and hotel arrangements
  • Assist with internet and other research
  • General office duties such as typing, copying, scanning, filing, faxing, etc.
  • Occasional local travel required such as obtaining staff lunch, running errands, etc.
  • Perform other duties as requested with a proactive team spirit

 Required and Preferred Skills and Experience:

  • Minimum one year of office administrative support experience is preferred.
  • Customer service experience
  • Organizational skills with attention to detail
  • Maintain a positive attitude while working under pressure
  • Must know MS Word, Excel and Outlook (PowerPoint also preferred)
  • Excellent oral and written communication
  • Requires attention to detail, logical thinking, and excellent organizational, analytical and customer service skills
  • Must be able to represent the organization both in person and over the phone in a professional manner with excellent communication skills
  • Professional appearance even in business casual atmosphere
  • Reliable and dependable attendance
  • Ability to be resourceful and proactive in dealing with issues that may arise

Education/Certifications/ Licenses:

  • HS diploma
  • Some college preferred, but not required
  • Valid Driver’s License

Physical Demands:

  • Sitting for extended periods of time
  • Frequent walking through the office
  • Picking up after others, re-stocking goods
  • Occasional lifting of no more than 35 lbs
  • Set up of conference room involving moving tables
  • Loading and unloading dishwasher
  • Daily reaching and bending to retrieve materials, restock cabinets, and maintain pristine office environment
  • Frequent use of computer including spreadsheets, resume databases, and online research

Work Environment:

  • Our new office is an open floor plan and as such can have moderate noise levels, which for some can be distracting. Ability to maintain focus
  • Frequent use of computer
  • Frequent interaction with coworkers, vendors, and VIP clients
  • Sitting at the front desk most of the time. Ability to do majority of the job from that location
